How to Give an Agency Access to Your Instagram Account

What You Will Need Before You Begin

Before you can grant access, make sure you have the following ready:

  1. A business or creator Instagram account (not a personal one).
  2. Your Instagram must be connected to a Facebook Page.
  3. You must have admin access to the Facebook Page.
  4. A Business Manager account set up at Meta Business Suite.

Step 1: Switch to a Business or Creator Instagram Account

You cannot connect a personal Instagram profile to Facebook Business Manager. Here is how to switch:

  1. Open the Instagram app and go to your profile.

  4. Choose Switch to professional account, then select either Business or Creator.

Step 2: Connect Your Instagram Account to a Facebook Page

To grant access via Business Manager, your Instagram account must be linked to a Facebook Page.

  1. On Instagram, go to Settings and privacy > Account type and tools > Linked accounts.
  2. Select Facebook and log in with the account that manages the page.
  3. Choose the Facebook Page you want to connect.

Alternatively, do this from your Facebook Page settings:

  1. Visit your Page on Facebook.
  2. Go to Settings > Linked Accounts > Instagram.
  3. Log in and follow the prompts.

Once linked, the accounts will sync. This connection is needed for handing over access correctly.

Step 3: Create or Access Your Meta Business Manager Account

If you are not already using Meta Business Manager, head over to Meta for Business and click Create Account.

You will be prompted to:

  • Enter your business name
  • Add your name and email
  • Set up your Facebook Page and Instagram account inside the dashboard

Step 4: Add Your Instagram Account to Business Manager

Once inside your Business Manager dashboard:

  1. Navigate to Business Settings.

Once verified, your Instagram account becomes available for assigning permissions.

Step 5: Grant the Agency Access

There are two ways to give an agency access, depending on how they are set up.

If the agency has a Business Manager account:

  1. Go to Business Settings.
  2. Under Users, choose Partners.
  3. Click Add.
  4. Enter the agency’s Business Manager ID (they will give this to you).
  5. Choose assets (your Instagram and Facebook Page) and assign the appropriate access level (e.g. Content, Ads, Insights).

This method keeps your own access intact while giving them exactly what they need.

Option B: Add Them as a Page Admin

Only use this if the agency does not have a Business Manager.

  1. Go to Page Settings > New Pages Experience > Page Access.
  2. Click Add New.
  3. Enter their name or email associated with Facebook.
  4. Choose Admin or Task Access.

This is less secure and less organised but can work temporarily for small teams or one-off campaigns.

Step 6: Confirm Permissions and Roles

After the agency is added, revisit your Business Manager and double-check their permissions:

  • Are they limited to content creation?
  • Can they access Insights and Ads Manager?
  • Have they been added to both your Facebook Page and Instagram account?

You can modify roles anytime from the same Business Settings panel. This ensures they have enough access to do their job, without compromising your control.

What Access Should You Give an Agency?

You want your agency to be productive, but that does not mean handing over the keys to the castle. Here's a basic checklist:

  • Content access: To schedule and post on your behalf
  • Ad management: To create and run Instagram ads
  • Insights: So they can analyse your performance and report back

Avoid giving financial admin access unless they are handling ad billing directly. You can always grant temporary access if needed.

How to Revoke or Update Access Later

If the agency relationship changes, or ends, you can update or revoke their access easily:

  1. Go to Business Settings.
  2. Under Users or Partners, find the agency.
  3. Click the three-dot menu and select Remove Access or modify permissions.

This is another reason not to share passwords. With Business Manager, you stay in control at all times.

  • Not using a professional account: Without a business or creator profile, the process will not work.
  • Using personal Facebook profiles: This gets messy fast. Stick with Business Manager.
