The Opportunity
This is a standout contract opportunity for an experienced Events Coordinator to play a key role in delivering two major, high-profile events for a global enterprise software company.
The role starts part-time (2–3 days per week) in early August 2026, ramping up to full-time from October 2026. The initial contract runs through to March 2027, with strong potential to extend for a further 12 months as the next event cycle kicks off immediately after.
You'll be working on events of genuine scale — think 1,600 global staff converging on Brisbane for a three-day company kickoff, followed by a multi-city customer roadshow spanning Australia, New Zealand and the UK.
The Events
Company Kickoff (CKO) — February 2027
The company's flagship internal event, bringing together approximately 1,600 staff from around the world to Brisbane for a three-day program. Coordination responsibilities include accommodation, flights, transfers, and stream assignments for all attendees.
Showcase — October 2027
A customer-facing roadshow taking the event on the road across Brisbane, Sydney, Melbourne, Auckland and London, with 500–700 customers attending each location.
What You'll Do
Manage complex attendee databases across both events — accommodation, flights, transfers, stream allocations
Support end-to-end coordination of internal and external events, both in-person and virtual
Liaise with venues, suppliers, external event managers and internal stakeholders
Assist with scheduling, preparing briefs, and tracking deadlines
Prepare and maintain event documents, including run sheets, checklists and reports
Keep the corporate events calendar up to date
Support post-event activities, including feedback collection and evaluation
Work across multiple internal teams and regions to support event delivery
Help identify opportunities to improve brand presence at events
What We're Looking For
Strong database management skills — this is central to the role
Advanced Excel skills and comfort working with large, complex spreadsheets
Experience with event management software (the company uses Swoo; similar platform experience is fine)
Highly organised with exceptional attention to detail
Able to juggle multiple priorities and deadlines without dropping the ball
Strong communicator — confident working with internal teams and external stakeholders
Tertiary qualifications in Events Management, Hospitality or a related field preferred
Background in hospitality, travel, hotels or events is an advantage
Proactive mindset with a willingness to learn and improve processes
Basic understanding of event budgeting
Contract Details
Start date: Early August 2026
Phase 1: Part-time (2–3 days per week), August–September 2026
Phase 2: Full-time, October 2026 – March 2027
Equivalent annual rate: up to $80,000 (pro-rated during part-time phase)
Reports to the Events Manager
Potential to extend to an 18-month engagement based on performance
